Privacy Policy

ReferralHub ("the App", "we", "us") is an internal employee-referral tool built and operated by Direct Result Group for Direct Result, TSU, Activate and Athena (together, "the Companies"). This policy explains what personal data ReferralHub collects, why, and how it's used, in line with the EU General Data Protection Regulation (GDPR).

1. Who is responsible for your data

2. Who can use ReferralHub

ReferralHub is only available to employees of the Companies, signing in with their company Google Workspace account. It isn't open to the public and isn't used to collect data from website visitors generally.

3. What we collect

About you, when you sign in

When you sign in with Google, we receive your name, email address and profile picture from Google. We use this only to identify you within ReferralHub and to attribute the referrals you submit.

About the person you refer

When you submit a referral, we collect the information you provide about that person: their full name, email address, phone number, how you know them, and which company and office you're referring them to.

Before referring someone, please make sure they're comfortable being put forward for a role and having their contact details shared with the relevant company's recruitment team.

4. How we use this data

• To operate the referral program: match referrals to the right office and company, track referral status, and show you how many people you've referred.
• To pass referral details to Recruitee, the applicant tracking system used by the Companies' recruitment teams, so a recruiter can follow up with the person you referred. Recruitee processes this data as the Companies' recruitment platform — see Recruitee's own privacy policy for how it handles applicant data.
• To keep you signed in (a session cookie), and to enforce that only company Google accounts can use the app.

We don't use this data for advertising, and we don't sell it.

5. Who we share data with

• Google, to authenticate you (see Google's Privacy Policy).
• Recruitee, to route referrals into the relevant hiring pipeline.
• Within the Companies, referral data is visible to the recruitment and HR teams responsible for hiring.

We don't share this data with any other third party.

6. How long we keep it

We keep your account and referral records for as long as they're useful to the referral program, and as required to meet our legal and record-keeping obligations. You can ask us to delete your data at any time — see Section 8.

7. Cookies

ReferralHub uses one essential cookie to keep you signed in. We don't use analytics or advertising cookies.

8. Your rights

Under GDPR, you have the right to access, correct or delete your personal data, to object to or restrict certain processing, and to receive a copy of your data. To exercise any of these rights, contact [privacy@direct-result.com]. If the person you referred wants to exercise these rights over their own data, they can contact us at the same address, or Recruitee directly regarding the recruitment process.

9. Changes to this policy

We may update this policy from time to time. We'll update the "Last updated" date above when we do.
